The Meeting locations tab in Event settings lists where meetings take place, such as rooms, tables, or booths, and how many meetings each location can host at the same time. Without locations, there’s no limit on meetings per slot. This tab appears for events on the Meet & AI plan.

How locations are used

  • When a meeting is confirmed, it takes a free location for that time. If every location is full, the meeting can’t be confirmed for that time, and the participant accepting the request is asked to propose another time.
  • Locations are optional, and events without locations confirm meetings without one.
  • In Meetings, each meeting shows its Location, and you can move a meeting to another location or set it to Unassigned. The Schedule tab lays meetings out by location.
  • Participants see the location on their meeting. A meeting without a location shows the event venue instead when it falls within the event dates.

Adding and editing locations

Select Add locations. The dialog adds one or more locations at once with Add another location. Each row has two fields: Select Save changes. To change a location later, select Edit location in its row.

Limits once meetings exist

  • Concurrent meetings can’t be reduced while the location has meetings that haven’t ended. Setting a number on a location that had no limit counts as reducing it.
  • A location can’t be deleted while it has meetings that haven’t ended or schedule drafts. The delete confirmation shows the reason. Move those meetings to another location in Meetings, publish or delete the drafts, then delete the location.

Troubleshooting

Participants see this when they accept a request for a time at which every location is already booked. Add a location or raise Concurrent meetings on an existing one.
Only a location with no upcoming or ongoing meetings can be made smaller. Move its meetings to another location in Meetings, or make the change after they end.
Reassign the meetings in Meetings, then publish or delete the schedule drafts that use this location. The location can be deleted once nothing points to it.
