An announcement is an email to the approved participants of a published event. You write it in Announcements, choose who receives it, and send it right away or at a scheduled time. Every announcement stays in the history with its recipients and their delivery status.
Announcements go out from a published event only; a draft shows Publish the event to send announcements. with a Go to publishing link. Recipients are approved participants whether or not they were invited or have entered, so for people you added but never invited, this is their first email from the event. Unsubscribed participants are skipped, and every member of your organization gets a copy.
1

Start a new announcement

In Announcements, select New announcement. To write to specific people, select their rows in the Roster, then select Send announcement in the action bar; the form opens with them preselected under Send to.
2

Choose the recipients

Send to offers All approved participants, the default, which Includes people you haven’t invited yet., and Participants matching conditions. Conditions are Participant types, Entry (Entered or Not entered), Invitation (Invited or Not invited), answers to choice-type profile fields, and Name or email contains. The form recounts the recipients as you change conditions and shows how many unsubscribed participants are excluded.
3

Write the subject and message

Subject (optional) takes up to 200 characters; blank means a default subject with the event name. Message is rich text with bold, italic, two heading levels, lists, a divider, and links, up to 5,000 characters, counted under the editor. Your text goes out as written; only the frame of the email follows each recipient’s language.
4

Send yourself a test

Select Send me a test email to get the current subject and message at your own address. Nothing is saved; Test email sent confirms.
5

Send now or schedule

Under When, keep Send now and select the send button, which shows the recipient count. The dialog warns Once sending starts, it can’t be undone.; confirm with Send now. To send later, choose Schedule, set Date and Time in the event time zone (the offset is shown beside the time), and select Schedule. A time within the next two minutes asks for the same confirmation. The announcement then opens in its detail sheet.

Read the history

The table lists Subject (No subject when blank), Send time in the event time zone, Status, and Created by, 20 per page. Scheduled waits for its send time and can still be edited or deleted; Sending means the recipients are fixed and emails are going out; Sent means sending finished, with per-recipient results filling in shortly after; Failed shows its reason under the chip. Select a row for details.

Details, edit, delete, and duplicate

The detail sheet shows the audience summary and, once sending has started, the Recipients, Sent, Failed, and Unsubscribed counts, with Message and Recipients tabs. Each recipient carries Sent, Failed, Unsubscribed, or Pending. A scheduled announcement reads Recipients are fixed when sending starts. and offers Edit and Delete; deleting asks Delete this scheduled announcement? and can’t be undone. A sent or failed announcement offers Duplicate, which opens a new form with the same subject, message, and recipients, set to Send now. Replies from participants arrive at the Support email set in Basic info.

Troubleshooting

The event isn’t published. Select Go to publishing; see Publish the event page.
No approved participant matched when you confirmed. Registrations in Pending approval become recipients only after approval, and unsubscribed participants are excluded.
The reason sits under the status. No one matched the audience at send time. and The event was unpublished, so nothing was sent. mean the audience was empty or the event was a draft at the scheduled time. An item used in the conditions was deleted, so nothing was sent. means a participant type or option in the conditions no longer exists. Some emails didn’t go out. and Sending stopped before it finished. mean part of the batch failed; open Recipients to see who is marked Failed. Duplicate opens a new announcement with the same title, body, and audience, ready to send again.
A scheduled announcement uses this in its conditions. Change the announcement’s conditions first. Edit or delete that announcement, then delete the item.
