The Roster tab under Participants lists everyone attached to the event: people you add or import, and people who register through the event page. Each row carries one status, and the detail sheet opens from the row.

Statuses

Registered counts approved participants: everyone who is Entered, Invited, or Not invited.

Summary cards and filters

Needs correction marks a required profile field that is empty or holds a value outside its options, typically after an import. The detail sheet shows the field as Missing or lists the unmatched value.

Columns and detail sheet

The table shows Name (with company and email), Participant type, and Status. View details at the end of the row opens the detail sheet. Its header shows the name, status chip, and email, and the photo opens Change profile photo. Delete can’t be undone. For an approved participant on a Meet & AI event, it also cancels their upcoming meetings and requests, and in a published event the other participants are notified.

Bulk actions

Selecting rows opens the action bar. Each button shows how many selected rows it applies to. Reject asks for confirmation. For approved participants on a Meet & AI event, it cancels their upcoming meetings and requests, and approving them again won’t restore the meetings.

Export

Export downloads the roster as CSV or Excel. While a filter or search is active, the menu offers the current view, and the file contains only the rows you see.

After the event ends

The roster header reads This event has ended, so participants can’t be approved, added, invited, or imported. and Add participant, Import, Approve, and Send invitations become unavailable. Browsing, export, profile edits, reject, and delete stay open. A rejection after the end is final, because approvals have closed.

Troubleshooting

The event has no participant type yet. Create one in Event settings under Participant types, then import.
Every selected participant has Declined, so approve and reject don’t apply. Use Invite again in the detail sheet instead.
Each email address appears once per event. To fix a typo, delete the participant and add them again with the correct address.
