# Approve registrations

> Review registrations from the public link: where pending approvals appear, how to approve or reject, what rejection cancels, and when approvals close.

When the event page accepts registrations and you require approval, each registration waits for your decision before the person can use the event. Pending registrations are flagged on the event overview and in the roster, where you approve or reject them one by one or in bulk.

<Note>
  Pending approvals occur only when **Access** is **Public link** and **Require
  approval** is on in the **Registration** tab of **Event settings**.
  Participants you add or import are approved automatically. Approvals close
  when the event ends.
</Note>

<Steps>
  <Step title="Find pending registrations">
    On the **Overview**, the **Needs attention** card lists the number of
    registrations pending approval, with the time approvals close, which is the
    event end. Select **Review** to open the roster filtered to **Pending
    approval**. In the roster itself, the **Pending approval** card and filter
    tab show the same count and the same closing time.
  </Step>

  <Step title="Review one registration">
    Open the row. The detail sheet shows the participant type and the answers
    the person gave at registration, with **Approve** and **Reject** at the top
    of the **Profile** tab. **Approve** applies immediately. You can also edit
    the profile before deciding.
  </Step>

  <Step title="Approve several at once">
    Select the rows, then select **Approve** in the action bar. The button shows
    how many of the selected people it applies to. Rejected participants can be
    selected and approved the same way while the event is running.
  </Step>

  <Step title="Reject">
    Select **Reject** in the action bar or in the detail sheet and confirm. For
    registrations that are still pending, the dialog says only that the people
    won't be able to enter the event. If the selection includes approved
    participants on a Meet & AI event, the dialog also warns that their upcoming
    meetings and requests are canceled, that the other participants are
    notified, and that approving them again won't restore the meetings.
  </Step>
</Steps>

## What the participant sees

Right after registering, the participant sees that approval is pending and can complete their profile in the meantime. The participant side is described in [Join an event](/participant/join).

* **Approved**: the person gets an approval email and can use the event page. Because they signed in with their email during registration, their roster status becomes **Entered** at once, so they don't need an invitation.
* **Rejected**: the person gets a rejection email, and the event page tells them they can't join. While the event is running, you can approve them again from the detail sheet under **More actions**.

## Check the result

The **Pending approval** count in the roster and on the overview goes down, and the approved people appear under **Entered** and in the **Registered** count. The **Needs attention** row disappears when nothing is left to review.

## Troubleshooting

<AccordionGroup>
  <Accordion title="Approve is disabled">
    The event has ended. The detail sheet shows **This event has ended, so this
    participant can't be approved.** and the overview no longer counts pending
    registrations. Rejecting is still possible but can't be reversed afterwards.
  </Accordion>

  <Accordion title="This participant declined the invitation, so their status can't be changed">
    A participant with **Declined** can't be approved or rejected. Select
    **Invite again** in the detail sheet to send a new invitation.
  </Accordion>

  <Accordion title="Nobody appears under Pending approval">
    Approval applies to registrations through the public link only. If
    **Access** is **Invite list only**, nobody can register, and participants
    you add or import are approved on the spot. Check the **Registration** tab.
  </Accordion>
