# Schedule and direct assignment

> Read the Schedule grid, confirm a meeting from an empty cell, lay out drafts in batch mode and publish them, move confirmed meetings, and export the schedule.

The **Schedule** tab under **Meetings** lays confirmed meetings out by location and slot. From here you confirm a meeting for two participants on the spot, or turn on batch mode to lay out drafts and publish them together. Meetings are part of the Meet & AI plan.

<Note>
  Slots come from **Meeting duration** and **Meeting hours** in [Meeting
  rules](/host/settings/meeting-rules), and columns from [Meeting
  locations](/host/settings/meeting-locations). Assigning here doesn't check the
  participants' availability or the minimum notice.
</Note>

<Steps>
  <Step title="Read the grid">
    Columns are the locations plus **Unassigned** for meetings without one; rows are the slots of the selected date. A card names the two participants with **Confirmed**, **Completed**, or **Draft** below. Past slots are shaded and accept no new meetings. Meetings that no longer fit a slot, for example after the duration changed, appear under **Outside slots**.

    **Day** shows one date and **Week** seven, with the location in front of each card and **No meeting hours** on days without hours.
  </Step>

  <Step title="Confirm a meeting from an empty cell">
    Point to an empty cell and select **Confirm a meeting here**. In **Confirm a meeting**, search **Participant A** and **Participant B** by name among approved participants. People who were never invited show **Not invited**; after the event end, **Invited** marks those who never entered. Select **Confirm**.

    A pair that breaks the participant type rules, or a participant over their meeting limit, gets a warning first, and **Confirm anyway** goes ahead. An overlap, a full location, or a past slot is refused with the reason in the dialog. The meeting then appears in the list with a **Host** chip.
  </Step>

  <Step title="Start batch mode">
    Select **Start batch mode**. The dialog says **Participant requests and confirmations are paused while you arrange meetings.** Select **Start**. Participants can't request, accept, or propose until you publish or end. Batch mode belongs to the event: every member sees the same drafts and can publish or end it.
  </Step>

  <Step title="Lay out drafts">
    Select **Add draft here** in an empty cell, select two participants in **New draft meeting**, and select **Add draft**. Open a draft to **Move** it to another cell at once, or to **Delete** it; neither asks for confirmation. Each card shows its violations:

    * **Time conflict**, **Location full**, and **Past time** block publishing until the draft is moved or deleted.
    * **Rule violation** and **Over limit** can be published with **Publish anyway**.
  </Step>

  <Step title="Publish or end">
    **Publish** opens **Publish all drafts?**, which includes drafts on other dates. With a blocking violation the button stays disabled; with rule or limit violations only, the button reads **Publish anyway**; otherwise select **Publish**. Each draft becomes a confirmed meeting with the **Host** chip, and batch mode ends on its own.

    To stop without publishing, select **End batch mode**. **End batch mode?** warns that unpublished drafts will be deleted, and **Delete drafts and end** confirms.
  </Step>

  <Step title="Export the schedule">
    **Export schedule** downloads one Excel file with a sheet per date, laid out as locations by time, with every confirmed meeting of the event. The selected date and filters don't apply.
  </Step>
</Steps>

## Moving a confirmed meeting

Select a confirmed meeting to open its details. **Edit meeting** opens the same dialog as the [list](/host/meetings/list). **Move** lets you select a target cell and confirm in **Move meeting**. Over a meeting limit it asks **This exceeds a participant's meeting limit. Move anyway?** In **Week** view the meeting keeps its location and only the time changes.

## What participants see

On the event page, the meeting carries an **Arranged by host** chip and the participants can't cancel it. On a published event, both are emailed for each change. Statuses, limits, and emails are in [How meetings work](/host/meetings/how-meetings-work).

## Troubleshooting

<AccordionGroup>
  <Accordion title="The cell has no + button">
    Past slots, the dimmed column of a deleted location, and every cell after
    the page end take no new meetings; the header then reads **The event page
    has ended, so meetings can't be added or moved.**
  </Accordion>

  <Accordion title="Publish is disabled">
    A draft carries **Time conflict**, **Location full**, or **Past time**. Move
    or delete those drafts. After the event page has ended, publishing is closed
    too, and **End batch mode** deletes the drafts.
  </Accordion>

  <Accordion title="Batch mode is on, so this can't be changed right now">
    Another member started batch mode while you were confirming, editing, or
    moving a meeting. The schedule reloads in batch mode; publish or end it,
    then try again.
  </Accordion>

  <Accordion title="No meeting slots on this date">
    The date has no meeting hours. Add them in **Meeting rules**, or choose a
    date that has some.
  </Accordion>
