# Event lifecycle

> How an event moves from draft to published to ended, what unpublishing does, how the event end differs from the page end, and what locks after each.

An event starts as a draft, opens to participants when you publish it, and ends in two steps: the event end and, after it, the page end. The status chip on the event card and in the event header shows the current stage, and the **Events** list has matching **All**, **Ongoing**, **Upcoming**, **Ended**, and **Draft** tabs.

## Status

| Chip | When it shows |
| - | - |
| **Draft** | The event has never been published, or you unpublished it. Participants can't open the event page. |
| **Upcoming** | Published, and the event hasn't started. |
| **Ongoing** | Published, and the event is in progress. |
| **Ended** | Published, and the event end has passed. The event page can still be open. |

## What publishing changes

Publishing opens the event page at the site address. The overview becomes a dashboard with the page link and the plan status, **Billing** appears in the event sidebar, the site address locks, and the plan can only move from Chat to Meet & AI. The steps are in [Publish the event page](/host/publishing/publish).

## Unpublishing

**Unpublish** in **Publishing** asks **Unpublish this event?** and shows **Participants lose access to the event page until you publish again.** While the page is open, it adds that billing continues until the page end.

| Effect | Detail |
| - | - |
| Goes back | The chip returns to **Draft**, and the **Site address** can be edited and saved again. |
| Stays | **Billing** stays in the sidebar, billing periods keep running until the page end, and the event still can't switch back to Chat. |
| Publishing again | **Publish event** publishes right away without the **Choose a plan** dialog. The four **Before you publish** items still apply. |

## Event end and page end

| | Event end | Page end |
| - | - | - |
| Meaning | The end of **Date and time** in **Basic info**. | The time after which meetings can't be requested or moved and the plan can't be changed. Messages, replying to or canceling remaining meetings, and profile edits stay open. |
| How it's set | You set it. Once a published event has ended, it can't be changed. | Calculated: the event end on Chat, or on Meet & AI the later of the event end and the end of the last **Meeting hours**. Changes to the schedule, plan, or meeting hours recalculate it, and a time already past ends the page right then. |
| Where it shows | The status chip. | The overview, next to the plan status, on Meet & AI events. The row switches to past tense once the page has ended. |

The last billing period ends at the page end. See [Billing](/host/billing).

## What locks after the event ends

| Where | Disabled | Message shown |
| - | - | - |
| **Participants** header and selection bar | Add, import, approve, invite | **This event has ended, so participants can't be approved, added, invited, or imported.** |
| Participant details | Approve, re-invite | **This event has ended, so this participant can't be approved.** |
| **Invitations** tab | **Send invitations** | **This event has ended, so invitations can't be sent.** |
| **Basic info** | **Date and time** and **Time zone**, on events that have been published | **This event has ended, so its date and time can't be changed.** |

Rejecting and removing participants and sending announcements still work.

## What locks after the page ends

| Where | Disabled | Message shown |
| - | - | - |
| **Meeting hours** | Add, edit | **The event page has ended, so meetings can't be added or moved.** |
| **Schedule** | Add drafts, confirm, move, batch arrangement | Same message |
| **List** | **Edit meeting** and **Accept new time** | Removed from the row menu |
| Plan | **Change plan** and **Upgrade to Meet & AI** | **The event page has ended, so the plan can't be changed.** |

Canceling meetings, deleting drafts, and ending batch mode still work.

## Changing the date of an ended event

| Event | Date and time |
| - | - |
| Never published | Allowed, and the new end must be in the future. Until then **Publish event** is disabled with **This event has already ended. Change its date and time to publish it.** |
| Published, then ended | Locked, along with the time zone. |
| Published, unpublished, then ended | Locked the same way. |
